# Common workflows

> Jobs that span more than one page, written as the path through AIM.

Some jobs cross several pages. These walk the whole path, start to finish.

## A delivery arrived — get it into stock and listed

Boxes from a vendor just showed up and you want those pairs sellable everywhere as fast as possible.

1. [Purchase Orders](/buying/purchase-orders) — Open the purchase order for this delivery and receive the pairs that arrived. Receiving is the step that actually adds them to your inventory.
2. [Inventory](/inventory/inventory) — Spot-check the received sizes and quantities to make sure the counts match what came in the boxes.
3. [Print Labels](/inventory/print-labels) — Print barcode labels for the new pairs so they can be scanned at the counter and on the floor.
4. [Listings Control](/listings/listings-control) — Confirm the new stock is set to list on the marketplaces you want. If you use listing rules, eligible pairs list themselves; otherwise select and list them here.
5. [Active Listings](/listings/active-listings) — Check that the listings went live and the prices look right.

<Info title="When you are done">
  The delivery is counted in inventory, labeled, and live on your chosen marketplaces at prices you have checked.
</Info>

* A purchase order that is still a draft has not touched your stock — receiving is what moves the numbers.
* If a pair does not appear on a marketplace within a few minutes, check Sync Health before re-listing it by hand.

## You sold a pair you do not actually have

A marketplace sale came in but the pair is missing, damaged, or was already sold somewhere else.

1. [Marketplace Sales](/selling/marketplace-sales) — Open the sale and confirm which pair and size it needs. Decide whether you can still fulfill it (another location, an incoming delivery) or not.
2. [Inventory](/inventory/inventory) — Check the real count for that size. If the number in AIM is wrong, fix it with an adjustment so the same oversell cannot happen again.
3. [Active Listings](/listings/active-listings) — Make sure the size is no longer listed anywhere else while you sort this sale out.
4. [Failed Orders](/selling/failed-orders) — If the sale could not be processed, resolve it from here — recover it once you have stock, or cancel it on the marketplace.

<Info title="When you are done">
  The sale is either fulfilled from real stock or cleanly cancelled, the count is corrected, and no other marketplace is still offering the missing pair.
</Info>

* Negative inventory is allowed on purpose — it is AIM telling you a pair is owed, not a bug to ignore.

## Connect a Shopify store and keep it in sync

You are bringing an existing Shopify store into AIM, or setting up a new one.

1. [Settings → Marketplace Connections](/settings/settings) — Connect the Shopify store so AIM can see its products, inventory, and orders.
2. [Shopify Inventory Sync](/retail/shopify-sync) — Work through the sync recommendations: match each Shopify product to the right AIM product and approve the matches you trust.
3. [Catalog Sync](/listings/catalog-sync) — Review how your catalog publishes to the store — which products, images, and sizes go up.
4. [Sales Channels](/retail/sales-channels) — Choose which inventory is offered on the store and how it is grouped into collections.

<Info title="When you are done">
  Shopify and AIM show the same products and counts, orders flow into AIM automatically, and stock changes push back to the store.
</Info>

* Match quality beats speed: a wrong product match publishes wrong stock to your storefront.

## Count a section of the store and fix the differences

You want to verify shelf stock against AIM — a full count, one brand, or one wall.

1. [Inventory Counts](/inventory/inventory-counts) — Start a count for the products or location you are checking, then scan or enter what is physically on the shelf.
2. [Inventory Counts](/inventory/inventory-counts) — Review the differences the count found — pairs AIM thought you had but you do not, and pairs on the shelf AIM did not know about.
3. [Inventory](/inventory/inventory) — Apply the corrections so AIM matches reality, and glance at the adjustment history if a difference needs explaining.

<Info title="When you are done">
  AIM matches the shelf, and every correction is recorded with a reason you can look up later.
</Info>

* Count small and often — one brand a week beats one painful all-day count a year.

## A pair sold on a marketplace — get it out the door

StockX, GOAT, or eBay confirmed a sale and the clock is running on your ship-by date.

1. [Marketplace Sales](/selling/marketplace-sales) — Find the new sale and check its details — the marketplace, the size, and where the pair is.
2. [Pick Mode](/selling/pick-mode) — Pick the pair from its location, scanning to confirm you pulled the right size.
3. [Pack Mode](/selling/pack-mode) — Pack the order, print the shipping label, and mark it shipped.
4. [Fulfillments](/selling/fulfillments) — Confirm nothing else is waiting — this page is the queue of everything still owed to a buyer.

<Info title="When you are done">
  The pair is on its way with tracking attached, and the sale no longer appears in your pending fulfillment queue.
</Info>

* When a pair sells on one marketplace, AIM delists it from the others — if you see it still live somewhere, check Sync Health.

## Take in consigned pairs, sell them, pay the consignor

Someone wants you to sell their pairs for a cut.

1. [Consignment](/consignment/consignment) — Set the consignor up (or find them) so their items and payouts stay attached to the right person.
2. [Consignment Intakes](/consignment/consignment-intakes) — Record the pairs they dropped off — sizes, condition, and agreed prices or commission.
3. [Listings Control](/listings/listings-control) — List the consigned pairs on your channels like any other stock. AIM keeps tracking that they belong to the consignor.
4. [Consignment → Payouts](/consignment/consignment) — After pairs sell, run the payout so the consignor gets their share and the ledger shows your commission.

<Info title="When you are done">
  Consigned pairs move from drop-off to sold to paid out, with the consignor able to see where things stand the whole way.
</Info>

## Take back a retail sale

A customer returns a pair from your store or website.

1. [Returns & Exchanges](/retail/retail-returns) — Start the return from the original sale, choose refund or exchange, and note the condition the pair came back in.
2. [Inventory](/inventory/inventory) — Confirm the pair went back into stock — or was marked damaged if it cannot be sold again.
3. [Listings Control](/listings/listings-control) — If the pair is sellable, make sure it is listed again on your channels.

<Info title="When you are done">
  The customer is refunded or exchanged, the pair is back in stock (or flagged damaged), and your books show the return.
</Info>

## Review prices against the market and update listings

Prices have moved and you want your listings competitive without giving margin away.

1. [Marketplace Data](/listings/marketplace-data) — Check what pairs like yours are actually selling for right now.
2. [Pricing](/inventory/inventory-pricing) — Update your prices where the market has moved — one size, one product, or in bulk.
3. [Active Listings](/listings/active-listings) — Push the new prices to your live listings and confirm they took effect.
4. [Pricing Rules](/listings/pricing-rules) — If you keep making the same kind of change by hand, turn it into a rule so it happens automatically next time.

<Info title="When you are done">
  Live listings reflect your current pricing decisions, and repeat decisions are captured as rules instead of chores.
</Info>

## Stock a product AIM has never seen

You bought pairs of something that is not in your catalog yet.

1. [Add a Product](/products/add-product) — Add the product to your catalog — from the built-in catalog when it exists there, or as a custom product when it does not.
2. [Set Up a Product](/products/configure-product) — Finish its setup: sizes, images, and how it should appear on your channels.
3. [Create Purchase Order](/buying/create-purchase-order) — Record what you bought on a purchase order and receive it to bring the pairs into stock.
4. [Listings Control](/listings/listings-control) — List the new stock on the marketplaces and channels you want.

<Info title="When you are done">
  The product exists once, set up correctly, with real stock behind it and live listings in front of it.
</Info>

* For a single walk-in pair, Quick Actions → Single Product Intake is the faster version of this whole path.
