# Stock Adjustments

> Correct stock counts by hand when the number in AIM does not match what is on the shelf, and review every stock change that has already happened.

Correct stock counts by hand when the number in AIM does not match what is on the shelf, and review every stock change that has already happened.

**Where to find it:** [Open Stock Adjustments in AIM](https://aimventory.com/inventory/adjustments) — you will be asked to sign in first.

## What you can do here

* Fix the count for one size, or for a whole shelf of sizes in one go
* Choose exactly which physical pair comes out of stock when you remove one
* Write a short reason on each change so the history explains itself later
* Look back at every stock change — yours and the ones sales and Shopify made automatically
* Undo a hand-entered change you made by mistake

## Buttons, fields, and controls

| Control | Where | What it does | When to use it |
| --------------------------- | --------------------------------------------- | ---------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------- | ---------------------------------------------------------------------------------------------------------------------------------- |
| Create Adjustments | Tab, top of the page | Opens the working screen: your inventory on the left, the changes you are about to make on the right. | Use it whenever a count is wrong and you want to correct it. |
| Recent History | Tab, top of the page | Shows every stock change already recorded, with the before and after numbers, the reason, and what caused it. | Use it to answer "why did this size drop to 1?" or to find a change you want to undo. |
| Export CSV | Top right | Downloads the stock-change history as a spreadsheet, matching whatever filters you have set on the History tab. | Use it for a monthly shrink review or when an accountant asks for the paper trail. |
| Refresh | Top right | Reloads the tab you are on so you see the latest numbers. | Use it after someone else has been receiving or selling while you had the page open. |
| Search products | Available Inventory Items panel (Create tab) | Narrows the left-hand list by product name or style code. Type at least two characters. | Use it first — it is much faster than scrolling to the pair you are counting. |
| Location | Available Inventory Items panel (Create tab) | Limits the left-hand list to one store or warehouse. | Use it so you only see the shelf you are physically standing in front of. |
| Show product images | Available Inventory Items panel (Create tab) | Shows or hides the shoe thumbnails in the left-hand list. | Turn images off to fit more rows on screen during a long count. |
| Hide \<=0 Stock | Available Inventory Items panel (Create tab) | Hides sizes that are already at zero or below. It is on by default. | Turn it off when you found pairs on the shelf that AIM thinks you have none of. |
| Select All Results | Available Inventory Items panel (Create tab) | Adds every row currently showing on the left into the change list on the right. | Use it only after searching and filtering, so the visible rows are exactly the ones you mean. |
| Row click / Select checkbox | Available Inventory Items table (Create tab) | Adds that size to the change list on the right, or takes it back out. Hold Shift while clicking to grab a whole run of rows at once. | Use Shift-click when you are correcting a block of consecutive sizes of the same shoe. |
| New | Change list on the right (Create tab) | The number you want the size to end up at. The Δ column next to it shows the difference from the current count. | Type the number you physically counted, not the amount of the change. |
| Inventory Unit | Change list on the right (Create tab) | Lets you pick which single physical pair leaves stock, listed with its barcode, what it cost, and when it was bought. It only becomes selectable when the change removes exactly one pair; otherwise it stays on "Use FIFO", which takes your oldest pair first. | Use it when the pair you are writing off cost noticeably more or less than the others, so your profit numbers stay honest. |
| Reason | Change list on the right (Create tab) | A short note saved with the change and shown forever in the history. | Always fill it in — "shelf recount", "stolen", "found in back room" is all it takes. |
| Remove row (trash icon) | Change list on the right (Create tab) | Takes one line back out of the change list before you submit. | Use it when you added the wrong size or changed your mind about a line. |
| Clear All | Change list header (Create tab) | Empties the whole change list without saving anything. | Use it to start over after a bad selection. |
| Zero Out | Change list header (Create tab) | Sets the new number to 0 on every line in the list at once. | Use it when a whole batch is gone — a pallet shipped out off-system, or a display case was cleared. |
| Submit Adjustments | Change list header (Create tab) | Saves every line where the new number differs from the current one. Lines you did not change are skipped. | Use it once you have checked the Δ column and the numbers read the way you intend. |
| Review Pending Relists | Window that can appear right after you submit | Lists pairs that just came back into stock and could be put back up for sale. Confirm puts them back on your marketplaces, Skip All leaves them off, Close decides later. | Confirm when the pairs are genuinely sellable again; skip when they still need cleaning, photos, or inspection. |
| Saved view | Left panel (History tab) | Saves the current set of history filters under a name so you can reload it later. | Use it for a check you repeat, like "manual changes at the warehouse this month". |
| Search | Left panel (History tab) | Finds past changes by product name or style code. | Use it when you are investigating one specific shoe. |
| Sources | Filters (History tab) | Limits the history to what caused each change — Manual, Sales, Shopify, GOAT, Transfer, Purchase Order, Inventory Count, and so on. | Pick Manual to see only changes people typed in, rather than the many changes AIM makes automatically. |
| Shopify sync statuses | Filters (History tab, Shopify stores only) | Limits the history to changes that did or did not make it across to Shopify. | Use "Failed" when your Shopify numbers have drifted away from AIM. |
| Change | Filters (History tab) | Limits the history to increases, decreases, or changes that ended up at the same number. | Pick Decreases when you are hunting for shrink. |

| Reverse adjustment | Actions column on a history row | Opens a window to undo a change by recording an equal and opposite one. The original entry stays in the history untouched. | Use it when you typed the wrong number. It is only offered for hand-entered changes — sale-driven changes cannot be reversed here. |

## How to: Correct the count for one size

1. Stay on the Create Adjustments tab and choose your Location.
2. Search for the shoe, then click its row to add it to the change list on the right.
3. Type the number you actually counted into the New box and check the Δ column.
4. Write a short Reason, then click Submit Adjustments.

<Tip title="Real-world example">
  AIM says you have 5 Dunk Low Panda size 9 at the Main Store but you counted 4. Add the row, set New to 4, reason "shelf recount", submit — the Δ reads -1 and Available drops to 4.
</Tip>

## How to: Write off one specific pair, not just any pair

1. Add the size to the change list and set New to exactly one less than the current number.
2. The Inventory Unit box for that line becomes selectable — open it.
3. Pick the pair by its barcode, cost, and purchase date, instead of leaving it on "Use FIFO".
4. Add a Reason and submit.

<Tip title="Real-world example">
  You have three Jordan 4 Bred size 10 — two bought at $220 and one at $280. The damaged pair is the \$280 one, so pick that unit rather than letting AIM take the oldest, and your remaining stock value stays correct.
</Tip>

## How to: Clear out a whole batch after a physical count

1. Search and filter the left-hand list until only the rows you counted are showing.
2. Click Select All Results to move them all into the change list.
3. Either type each counted number, or click Zero Out if the whole batch is gone.
4. Give the lines a Reason and click Submit Adjustments — only the lines that actually changed are saved.

<Tip title="Real-world example">
  The pop-up shop shelf is empty after the weekend. Filter to that location, Select All Results, Zero Out, reason "pop-up closed, stock returned to main", submit.
</Tip>

## How to: Undo a change you entered by mistake

1. Open the Recent History tab.
2. Filter Sources to Manual, or search for the product, and find the wrong entry.
3. Click the reverse icon in the Actions column on that row.
4. Type why you are undoing it and confirm — AIM records an equal and opposite change.

<Tip title="Real-world example">
  You set a Yeezy 350 Bone size 8 to 0 when you meant size 8.5. Reverse the entry with reason "wrong size adjusted", the 0 goes back to 3, and both entries stay visible in the history.
</Tip>

## Good to know

* A stock adjustment only moves the count. It does not create or cancel a sale, does not change prices, and does not release anything you have set aside for a customer.
* Lowering a count takes a real pair out of stock, with its cost. Raising a count is meant for fixing a miscount — when stock genuinely arrives, receive it on a purchase order instead so the vendor and cost are recorded.
* Your Ready to list number may not move by the same amount as Available, because damaged pairs and pairs still going through receiving are held back from listings.
* Most rows in the history were not typed by anyone — sales, Shopify, transfers, and cancellations all record their own entries. Filter Sources to Manual to see only human edits.
* Reversing never erases anything. The original entry and the reversal both stay in the history, which is exactly what an auditor wants to see.
