# In-Store Purchase

> The buy counter: when someone walks in with pairs to sell you, this page records what you are paying, then puts those pairs straight into your inventory.

The buy counter: when someone walks in with pairs to sell you, this page records what you are paying, then puts those pairs straight into your inventory.

**Where to find it:** [Open In-Store Purchase in AIM](https://aimventory.com/quick-actions/in-store-purchase) — you will be asked to sign in first.

## What you can do here

* Record who you are buying from and which store the pairs are going into
* Add pairs by scanning their barcodes, searching the catalog, or typing them in
* See what each pair is worth on StockX and GOAT, and what you already have in stock, before you agree on a price
* Switch on Pre-Owned Mode so each used pair is tracked as its own item with its own condition
* Finish the buy in one step — the pairs are received into stock and your store's quantities are updated

## Buttons, fields, and controls

| Control | Where | What it does | When to use it |

| Vendor | Left panel, at the top | Records who you bought the pairs from — the walk-in seller, a reseller, or a shop you buy from regularly. | Pick it before you finish; you cannot complete the buy without one. Use the + button beside it to add a person who is not on the list yet. |
| + (Add vendor) | Left panel, beside the Vendor picker | Opens a form to create a new vendor with their contact details, address, and payment terms. | Use it the first time a particular seller walks in, so future buys from them are grouped together. |
| Location | Left panel, under Vendor | Sets which store or warehouse the pairs are physically going into. | Always confirm this — it decides which shelf the count lands on. If you only have one location it is filled in for you. |
| Pre-Owned Mode | Left panel, under Location | Changes how scans are handled so each scan becomes its own individual pair with its own condition grade and notes, instead of adding to a quantity. | Turn it on before you start scanning a used or worn batch, so a beat-up 10 and a near-new 10 do not get merged into "2 × size 10". |
| Name (optional) | Left panel | Gives the buy a name you will recognize later, instead of only a number. | Use it for a big or unusual buy you may need to find again, such as a collection bought from one person. |
| Import Global Product | Left panel, under "Add Products" | Searches the shared catalog and brings a shoe you do not have yet into your own catalog. | Use it when the pair in front of you is not in your catalog at all. |
| Custom Variant | Left panel, under "Add Products" | Creates a one-off product and size that does not exist in the catalog. | Use it for apparel, accessories, or an obscure pair nothing in the catalog matches. |
| Individual Item | Left panel, under "Add Products" | Adds one empty line you fill in by hand: pick the product and size, then type the quantity and the price you are paying. | Use it for a single pair that is faster to type than to scan. |
| Product Variants | Left panel, under "Add Products" | Opens a search where you can tick several sizes of one or more products at once and add them all together. | Use it when someone brings in a run of sizes of the same shoe. |
| Scan ("Scan UPC…") | Left panel, under the "Add Products" buttons | Accepts barcode scans from a handheld scanner. Each scan lands in the scan list on the far left of the page; anything the barcode does not match asks you to identify it. | This is the fastest way to take in a pile of boxes — click the field once, then just keep scanning. |
| Scan list — Apply All / Clear All | Far-left column, appears as soon as you scan something | Apply All turns the scanned rows into real lines on the buy. Clear All throws the scans away. You can also open a single scan to fix what it matched, or remove it on its own. | Scan the whole pile first, check that every row found the right shoe and size, then Apply All in one go. |
| Notes | Left panel, above the total | Stores a free-text note on the buy. | Use it for anything the paperwork should remember — "paid cash", "seller returning Friday with the rest". |
| Total | Bottom of the left panel | Adds up what you are paying across every line. | Check it against the cash or payout you are about to hand over. |
| Create Purchase | Bottom of the left panel | Finishes the buy: it saves the purchase, receives the pairs into the location you chose, and updates your connected store's quantities. | Press it only once the seller has agreed to the total. It stays greyed out until you have picked a vendor and added at least one line. |
| Cancel | Bottom of the left panel | Leaves the page. If you have unsaved work, you are asked whether to keep the draft or throw it away. | Use it when a deal falls through. |
| Line item row (product, quantity, price, condition) | Right panel, under "Line Items" | One row per pair or per size: choose the product, set how many you are taking, type what you are paying each, and set the box condition (and, for used pairs, a condition grade and notes). Clicking the row opens the market report for that shoe. | Adjust each row before finishing — the price you type here is what you pay, not what you will sell for. |
| Multiplier and the StockX / GOAT / Stock / 30d totals | Page header, once the buy has lines on it | Shows the combined StockX and GOAT asks and bids for everything on the buy, plus how many you already hold and how many sold in the last 30 days. The Multiplier scales those money totals so you can see, say, 70% of market. | Use it to sanity-check your offer for a whole pile at once instead of pair by pair. |
| Generate Report | Page header, top right | Opens a detailed market and sales report for the pairs on the buy. | Use it when you are unsure what a batch is worth and want the numbers behind the totals. |
| View buying report | Right panel, top right of "Line Items" (owners and managers only) | Shows a suggested buying price for each line based on your own selling history and current market. | Use it before you name a number to the seller. |
| Review Pricing | Pop-up shown after Create Purchase, when your store reviews pricing on intake | Lets you confirm or adjust the selling prices for each pair before the stock is received. | Set the prices you actually want live, then confirm to continue receiving. |
| Go to Drafts / Review Listings / Done | The "Purchase Complete" pop-up | Go to Drafts opens the pre-owned pairs that still need finishing; Review Listings lets you decide where the new stock gets listed; Done closes the pop-up. | Use Go to Drafts after a used-pair buy, and Review Listings when you want to choose listings straight away. |
| Close and finish in background | The progress pop-up, while receiving or syncing | Closes the pop-up while the work carries on by itself. The buy is already saved. | Use it when the next customer is waiting and you do not want to watch a progress bar. |

## How to: Buy a pile of pairs from a walk-in seller

1. Pick the Vendor (the person selling to you) and the Location the pairs are going into.
2. Click into the Scan field and scan every box — each one lands in the list on the far left.
3. Check that each scan found the right shoe and size, then click Apply All to turn them into lines.
4. Type what you are paying per pair on each line, and check the Total at the bottom left.
5. Click Create Purchase, wait for "Purchase Complete", then hand over the payment.

<Tip title="Real-world example">
  A reseller brings in 6 boxes: 2 × Dunk Low Panda size 10 and 4 × Jordan 4 Bred in mixed sizes. Scan all six, Apply All, enter $85 a pair on the Dunks and $180 on the Jordans — the total reads \$890.
</Tip>

## How to: Take in used pairs so each one keeps its own condition

1. Turn on Pre-Owned Mode before you scan anything.
2. Scan or add each pair — every scan becomes its own item rather than adding to a quantity.
3. Set the condition grade and any notes on each row (scuffs, no box, replacement laces).
4. Finish with Create Purchase.
5. On the completion pop-up, click "Go to Drafts" to finish the photos and details for those pairs.

<Tip title="Real-world example">
  Someone sells you three worn Jordan 1s, all size 10. With Pre-Owned Mode on you get three separate items — one graded excellent, two graded good with "creasing on toebox" noted — instead of one line reading "3 × size 10".

## How to: Work out what to offer before you commit

1. Add the pairs to the buy first, without worrying about the prices.
2. Read the StockX and GOAT totals in the page header to see what the pile is worth at market.
3. Set the Multiplier to the share of market you pay — 0.7 for 70% — and read the scaled totals.
4. Owners and managers can click "View buying report" for a suggested price per line.
5. Click any line to see how many you already hold and how many sold in the last 30 days.
6. Type your final prices onto the lines and finish the buy.

<Tip title="Real-world example">
  The pile shows a GOAT bid total of $1,400. Set the Multiplier to 0.65 and you see $910 — you offer \$900 cash, then spread that across the lines.

## How to: Recover when receiving does not finish

1. If the pop-up shows an error, click "View PO" to open the saved purchase order.
2. Or click "Retry" to try receiving again from here.
3. If some pairs still need their sizes set up, the pop-up walks you through finishing that first, then receives them.
4. The buy itself is never lost — it is saved before receiving starts.

<Tip title="Real-world example">
  A brand-new colorway has no sizes set up yet, so receiving stops. Finish the quick setup in the pop-up and the six pairs land in Main Store without re-entering anything.

## Good to know

* This page is for buying pairs IN from a seller, not for ringing up a customer who is buying from you.
* The price on a line is what you pay for the pair. Your selling price is set separately, during the pricing review or later on the product.
* Your work is saved as you go. If you leave with lines on screen you will be asked whether to keep the draft — keeping it means you can pick up right where you left off.
* Nothing enters your stock until "Purchase Complete" appears. Up to that point you can still change or remove any line.
* Turn on Pre-Owned Mode BEFORE scanning used pairs — switching afterwards will not split lines that are already merged.
